Top tips for participating in an audio conference

An audio conference can be a great tool for saving money and working efficiently with others. Unfortunately, meetings can sometimes become counter-productive if conference attendees lack basic phone etiquette! Here is a list of the top power tips we have for participants when joining your audio conference.

1. Be on Time

While being punctual is always helpful, there is a more practical reason for being on time. By default, audio conferencing accounts have a tone feature that identify participants as they join the call. Some accounts may also announce the name on entry as well. This can be very distracting for the conference call. As s side note, an exit tone will usually be present also, so make sure not to disconnect too often.

2. Too Much Noise?

Keep in mind that any noise that you make will be heard by other participants. This also goes for background sounds like a dog barking or car traffic. Here’s two simple tips:

  • Find a quiet area like your office and inform everyone not to be disturbed.
  • Avoid crumpling papers, eating or other sounds that we may do by habit.

3. To mute or not to mute

Muting yourself during a call can be very useful in reducing noise, but be aware of the following issues.

Often times, your telephone’s mute function/button will make a static sound when activated which will be heard all other participants. This may prove confusing to other participants who may think you have been dropped off the call. When muting, consider using the *6 touch tone feature of your conference call.

Once you have entered the conference room, pressing *6 will mute your line preventing any background noise from interrupting the call while at the same time allowing you to hear everything being discussed. When you wish to speak, you can simply unmute yourself.

Be aware that the conferencing mute feature will make a tone sound that others on the call can hear. So what’s the lesson? Mute only when necessary!

4. Hold the Phone

Another common issue with audio conferences is participants (or hosts) who put themselves on hold during the meeting. The problem is this may result in hold music or beeping sounds being played back in the entire conference. Find out ahead of time whether your line has a silent hold or not.

5. Good Connections Make for Good Calls

It is important to have a good, clear connection. Make sure to have a good phone to avoid static filling the call. Try to avoid VOIP services like Skype since they often cause an audio delay. Also avoid using the speaker phone as well since it will produce a noticeable echo and decrease sound quality.

6. Getting Help

Do not forget that help is always available 24/7. Once you call the conferencing line, simply press *0 for immediate operator assistance.

7. Prepare for the Call

One of the biggest requests that operators receive is for passcode retrieval. Please keep in mind that, due to security and fraud issues, conference operators cannot give out passcodes on the phone. Have all relevant passcodes and security codes (if necessary) ready before calling in to your meeting.

Also, make sure to prepare all relevant meeting information in advance, including office documents, pen/paper, agenda etc.
